IT support for media, film and TV
Senior engineers on every issue, one fixed monthly invoice, and freelancers set up and signed off as part of the service. For independent production companies and creative and advertising agencies of 20 to 100 people, and the freelance teams around them.
Ratcliff IT provides fixed-fee IT support and Cyber Security for TV and film production companies and creative and advertising agencies in London, typically 20 to 100 staff with a freelance team around them.
Your business runs on deals. Financiers, co-producers, broadcasters, streamers, brand clients and investors all need contracts signed, files shared and questions answered without delay. Scripts, cuts and unreleased campaigns have to stay private until the day they go out. And the people doing the work change with every production or pitch.
We run your IT around that pattern. Freelancers are set up before their first day and removed on their last. Access follows the project, so people see what they are working on and nothing else. Costs are agreed up front, so they go into the budget once and stay there.

I'm James Ratcliff, Managing Director of Ratcliff IT. We're here to inspire confidence through business technology and relationships, and that's what we've always done, particularly where the security and privacy of your information is paramount, and now where you're looking to implement AI.
0:14
We build long-lasting relationships with our clients. They all know that IT won't get in the way of their business, and that a Cyber Security incident isn't going to impact them or their clients.
0:24
Security, compliance, and confidentiality get handled quietly in the background, just as it should be, so you can get on with your work.
0:31
The same is also true of AI. Most firms we talk to nowadays want to use it without putting client information at risk. We help you work out where it fits, put the controls around it, and get your people using it effectively.
0:44
You'll get to know our team, they get to know you and how you work, we deal with your issues and queries as you raise them and we're very proud of the fact that we deal with the vast majority of everything that comes our way the same day.
0:55
We understand you want it kept simple, that comes down to a two-way partnership with experienced people you trust, who will call you back without being chased and who never leave you hanging.

Production companies and agencies tend to come to us when their IT has not kept pace with how they actually work.
Financing, co-production and client agreements move on other people's timetables. A locked account or a missing file on signing day costs far more than the fix.
Scripts, cuts, talent contracts and unreleased campaigns are at their most valuable before anyone has seen them. One misdirected link or shared login can put a deal or a client relationship at risk.
Freelancers, crew and contractors join for weeks, not years. Each one needs the right access on day one, and none of them should keep it after they leave.
Production budgets and agency fees pass through many suppliers at speed. Fake invoices, changed bank details and emails impersonating a producer or director are aimed at exactly that.
How we work
The standard is the same for every client. For media businesses, these parts of it matter most.
Freelancers are covered by your standard fee, and onboarding and offboarding are an expected part of the service, not billed as extras. Give us a start date and their accounts and access are ready, along with a computer if you are providing one. On their last day, access is removed and recorded, and the work stays with you.
Each production, client or pitch has its own shared space, so people see what they are working on and nothing else. External links from Box, Dropbox, Google Drive or SharePoint are controlled and can expire, so you know who holds your files.
We support the way your team already works: Macs and PCs, Microsoft 365 or Google Workspace, and the file sharing and transfer tools you use with partners. We take the day-to-day administration off your plate, from new joiners and leavers to getting computers ready, without asking you to rebuild around our preferences.
Email protection, secure sign-in and a simple check for bank detail changes and urgent payment requests, built around how your finance team or production accountant already works. A convincing email is not enough to move money.
Investors, shareholders, financiers, studios and brand clients increasingly ask how your systems are secured before they sign. We help you complete their due diligence and partner questionnaires as part of the service, and check each answer against what is actually configured.
One fixed monthly invoice for support, security and planning. Anything beyond that, such as connectivity for a production office, is scoped and priced up front, so the figure goes into the budget once. Planning meetings follow your year and your slate of projects.
Support, planning, security and AI, handled by one team rather than split across suppliers.
Unlimited helpdesk support, remote and on-site, for your core team and your freelancers, on Mac and Windows. We deal with the vendors behind your platforms so your team does not have to.
A named client success contact runs regular business planning meetings, turning your slate, growth plans and client commitments into a technology plan your leadership team can follow.
Protection, monitoring, detection and response across devices, email, identity and cloud, backed by a 24/7 Security Operations Centre and endpoint protection on the Macs and PCs we manage.
AI tools can see whatever the person using them can see. Permissions and data governance come first, then implementation at a pace that protects your clients' work and your IP.
Nothing was too much trouble for the team at Ratcliff IT. They delivered exactly what they set out to, with no hidden or extra charges. They knew exactly what to do to really make a difference to our business.
A clear, straightforward process from first conversation to long-term relationship. You discover where things stand, decide when you're ready, and everything is delivered without surprises.
We plan the move around your schedule. If you are in the middle of a shoot, a delivery or a pitch, we time the switch so it does not land on your busiest week, and we record when your outgoing provider's access is removed.

A focused 30 minute conversation to understand where you are, what's not working, and whether we're the right fit for each other.
A deeper session with our principal. We explore your goals, plans, and how IT, security, and AI can actively support your business strategy.
We present our recommendations and commercials in person. A real conversation - not a document in your inbox. Questions welcome.
A structured 30-day project. We handle the migration, configuration, and setup - so you can stay focused on running the business.
Ongoing IT management, regular strategy reviews, and proactive consulting - a relationship built around your growth, not just your tickets.
Reach out and we'll get back to you the same day, usually within a couple of hours, to arrange a 30-minute introduction call with a senior member of our team.
There's nothing to prepare and no need to be technical. It's simply a chance to talk about your business, your goals, and whether we're the right fit for one another.
If it feels like a good match, we'll arrange a follow-up conversation. If not, we'll be honest and leave you to decide your next steps.
No pressure. No obligation. Just a conversation to see if we're a good fit.
One fixed monthly fee, one invoice, no unexpected bills.
Your price is built around your size, sector, and how you work, so there's no standard rate card. The guide shows how the fixed monthly fee comes together, what sits inside it, and what moves the number, so you can weigh up the cost before you book a call.
Yes, and we always have. Many of our media clients run Macs, or a mix of Macs and PCs, and some use Google Workspace rather than Microsoft 365. We support your team on whichever they use and take the day-to-day administration off your plate: new joiners and leavers, getting computers ready, and the email and shared files everyone relies on, including platforms such as Box, Dropbox and Google Drive. If there is a good reason to change something, we explain why and what it costs before anything moves.
As a normal part of the service. You tell us who is starting, when, and what they need. Their accounts and access are ready on the day, along with a computer if you are providing one. When they finish, access is removed, shared links are closed and the work they produced stays in your systems. Each change is recorded, so you can show who had access to what, and when.
Yes. Most production offices are simpler than they sound. The team is usually your existing staff plus freelancers who are already set up, so the main job is reliable Wi-Fi and internet access. We scope it at the start so the cost goes into the production budget, and have it working before the crew arrives. If you are opening a permanent office, we plan it with you as a fuller project.
Access is set by project, so only the people working on a production or account can open its files. External sharing is controlled and links can be set to expire. Sign-ins are protected with multi-factor authentication, and when someone leaves, their access and shared links are closed the same day, so your work does not leave with them.
Yes, and it is included in the service. Investors, shareholders, financiers, distributors and brand clients' procurement teams often ask how your systems are secured before they sign. We help you answer standard due diligence and partner questionnaires, keep a record of previous answers with evidence, and check each one against what is actually configured before you sign it off. Some studios and streamers set their own content security requirements. Where meeting one becomes a formal assessment or certification project, we explain what it involves and agree the scope and cost with you first.
Freelancers are covered by your standard monthly fee, and onboarding and offboarding are included rather than billed per request. If you work with a large freelance team, we can add a separate cloud-only support line for them: we support the systems they use, such as email and shared files, while their own laptops and Macs remain theirs to look after. Either way it is agreed at the start, so a busy production month does not produce an unexpected invoice.
